Position:  Property Management Officer

Looking for a self-motivated, good communicator who is a wiz with MS Excel and is able to bounce easily from one task to the next.  JSM and its group of companies is a small, private real estate development and property management company, with largely commercial properties in Ontario, Quebec and Alberta.  We are seeking a Commercial Property Management Officer for our Downtown Toronto Office (located in Riverdale at Gerrard and Logan).

Candidate must work well in a culture of non-arrogance and collaboration. 

​Annual salaried position, no benefits offered at this time. 

  • Minimum 18 months of experience in the field of commercial property management
  • Minimum 1 year of experience as Commercial Property Specialist/Administrator, with specific experience:
    • in allocating operating costs and preparing additional rent tenant reconciliations;
    • working with commercial leases for familiarity with lease terms and ability to interpret financial responsibility based on legal contract terminology;
    • being first line of contact for tenant issues and/or assisting in administering contracts for property services
  • Minimum 1 year of experience working with bookkeeping software (Quickbooks or otherwise) doing cheque processing and printing, invoicing and compiling a broad range of reports;
  • Experience compiling and manipulating income and expense reports for third parties for a variety of purposes;
  • Minimum 3 years of general office administration experience;
  • Must be able to convert a verbal fact situation into a formula in MS Excel.  *THIS SKILL WILL BE TESTED USING A SHORT EXERCISE DURING SECOND ROUND INTERVIEWS; and
  • Demonstrated experience maintaining records (manual and electronic) and performing data entry with a high level of accuracy and attention to detail.

Educational Requirements:  High school diploma or higher

Skills / Characteristics:
  • High degree of comfort working with MS Excel and formatting in MS Word;
  • Ability to convert verbal fact situations into formulas to calculate correct proportions as may be required;
  • Aptitude in developing strong relationships over the phone and email, as clients and colleagues may be located in other cities;
  • Capability juggling many tasks at once systematically;
  • Competence in delivering high quality work product demonstrating an exceptional attention to detail; and
  • Positive attitude and strong collaborative work ethic.

  • Interpret lease contracts to calculate appropriate share of charges for additional rent statements;
  • Compile reports required by third parties, including insurers and mortgagees for annual updates or new applications (operating income and expense statements, rent rolls, etc);
  • Assist a vibrantly diverse tenant and applicant population by answering questions; taking complaints and/or requests for work orders; and refer people as necessary based on individual issues presented;
  • Administer tenant intake procedures for new clients and enter data into company records;
  • Apportion ongoing expenses as needed and bill tenant chargebacks accordingly (for example, some buildings have shared utility accounts which need to be apportioned and charged back on a monthly basis to tenants);
  • Use Quickbooks to extract required operating expense information and prepare CAM & Tax reconciliation spreadsheets in MS Excel for each tenant nation-wide based on specific lease terms in lease and rent roll;
  • Prepare and administer contracts for provision of property services, such as cleaning and maintenance, security services and fire and life safety obligations;
  • Perform general bookkeeping in Quickbooks, including expense categorization per property and expense type, cheque printing and invoice preparation, for certain companies and/or specific accounts [other team members do the bulk of day-to-day entry work for the majority of companies under our management];
  • General communications with tenants as may be required on behalf of the VP; and
  • General office operations including mail and office supplies.

Occasional Broader Duties:

Being part of a small office team, occasionally you may be asked to assist with a broader range of activities which may include attending to acute tenant maintenance issues, preparing marketing brochures, and updating our information posted on various online platforms.
