Looking for a self-motivated, good communicator who is flexible, able to bounce easily from one task to the next and is excellent with numbers.   JSM and its group of companies is a small, private real estate development and property management company, with largely commercial and some residential properties in Ontario, Quebec and Alberta.  We are seeking an Administrative Assistant in Property Management for our Downtown Toronto Office (located in Riverdale at Gerrard and Logan).  You will report directly to the Vice President.  Your job will touch on a broad range of activities from fielding phone calls from tenants and vendors, to creating spreadsheets for reconciling CAM & Taxes, preparing annual updates for mortgagors, insurers or consultants, as well as updating our website and other routine administrative tasks.  Our Toronto office is small and growing so you will need to pick up a range of tasks that may be outside the purview of a strict administrator.  We are looking for someone who is able to spot opportunities for improvement and suggest / implement solutions independently. 

Requirements / Skills:

College Diploma or University Degree
Minimum four (4) years’ work experience in administration (experience in real estate or property management is an asset)
High degree of comfort working with formulas in MS Excel and MS Word formatting
Familiarity with Quickbooks or other property management software is an asset
Excellent people skills in both written and oral communications
First-rate organization skills and ability to juggle many projects at once
Exceptional attention to detail and meticulous work ethic

Duties:

General Administration:

Daily administrative tasks including receiving mail and sending couriers
Prepare documents or invoices for VP’s signature / approval as needed
Drafting of cover letters and emails for VP
Maintaining paper and electronic filing system
Stocking office supplies
Assist with coordination of VP’s schedule and to-do list as may be required.
Assist in the scheduling of meetings and order / set out refreshments and tidy after meetings when needed

 
Property Management Administration:

Prepare CAM & Tax reconciliation spreadsheets from our accounting software for tenants
Prepare annual reports for mortgagors, insurers or tax consultants regarding tenant and income information
Field calls from Toronto-area tenants and when straightforward, refer to maintenance people
Assist in maintaining/updating rent rolls, critical dates spreadsheets (lease expiries, rent increases etc…)
Prepare basic forms for residential tenant notices as may be required
Categorize expenses per property as may be required
Possible work in Quickbooks to include basic data entry, cheque preparation and report compiling
Formatting leases and other documents

Communications / Marketing:

Update online availability of space for lease or announcements on JSM website and other platforms
Assist in preparing marketing brochures for various buildings
